Voice over IP
We install IP PBX telephone systems that replace traditional analogue switchboards and significantly reduce the communications bill, especially in companies with multiple branch offices or remote working teams.
We set up auto-attendants, queueing, pickup groups, call recording and time-based routing. Each employee takes their extension with them — on their mobile phone, laptop or desk phone — always using the same number.
We also handle the porting of existing numbers and the connection to the SIP operator, so that the change is seamless for anyone calling you.
How much does every missed call cost your company? DataRoad’s IP telephone system (PBX) gives you professional communications at a fraction of the cost of traditional switchboards: it works over the internet, with no dedicated infrastructure, fast installation and limitless growth — add extensions whenever you need, with no building work or new equipment.
The advantages that our clients value most: answering anywhere — in the office, at home or on your mobile — always with the company number; reducing the communications bill from the first month; and having landline numbers from any city, even without having an office there. All managed by DataRoad, with no technical worries for your team.
IP PBX Telephone System for Businesses in Portugal
VoIP and Business Communications
Your Company Still Pays a Fortune in Telecoms. There is a Better Alternative.
If your company still uses an ageing analogue or ISDN telephone system, pays standard rates for mobile calls, struggles to connect multiple offices into a single voice system, or cannot provide field sales reps with a company extension number on their mobile phones—you are wasting money and productivity every month.
VoIP technology and IP PBX systems have completely changed the way businesses communicate. Today it is possible to have a complete business telephone system — with all the features of a professional system — at a fixed and predictable monthly cost, independent of the telecommunications operator, accessible from anywhere in the world and scalable without additional hardware costs.
DataRoad designs, installs, configures and maintains IP PBX telephone systems for businesses in Portugal — bespoke solutions tailored to each organisation, ranging from offices with 5 users to companies with multiple headquarters across various cities or countries.
What is an IP PBX System and Why Your Business Needs One

An IP PBX (Internet Protocol Private Branch Exchange) system manages all your company's voice communications—internal calls between extensions, incoming and outgoing external calls, transfers, call queues, auto-attendants, call recording and much more—using your premises' existing network and internet infrastructure instead of dedicated analogue telephone lines.
The fundamental difference compared to a traditional exchange is simple: an IP PBX exchange turns voice into data and transmits it over the internet — the same path that email, files and Microsoft Teams already travel. This means you do not need dedicated physical lines for each call, you can have extensions anywhere in the world where there is an internet connection, and telecommunications costs drop significantly — especially for mobile and international calls.
A modern IP PBX system offers:
Unlimited extensions at no additional cost per extension — each team member has their own internal number, regardless of whether they are in the office, at home or travelling.
Professional automated switchboard — voice menus, music-on-hold, out-of-hours messages and intelligent call routing by department or time.
Call recording — for training, quality of service, legal protection and compliance with regulatory requirements.
Free conference calls — virtual conference rooms for meetings with multiple internal and external participants.
CRM and business software integration — automatic customer identification on calls, call logging in the CRM and click-to-call from the management software.
Total mobility — field workers, remote workers or travellers with the same company extension number on their mobile phone, transparent to the caller.
DataRoad IP PBX Solutions — On-Premise, Cloud or Hybrid
DataRoad implements IP PBX telephone systems in three distinct models, adapted to the profile and needs of each company:
Central IP PBX Local — Server on Your Premises
For businesses that prefer to maintain total control of their communications infrastructure on their premises, DataRoad installs and configures a dedicated IP PBX server — physical or virtualised — with the entire call management platform, configuration data and recordings stored locally.
Advantages of the local model: total data control, independence from an internet connection for internal calls, maximum performance on high-utilisation networks and total customisation without cloud platform limitations.
DataRoad recommends this model for businesses with high confidentiality requirements — law firms, financial institutions, clinics — or for organisations with a robust IT infrastructure that intend to keep all communications within the internal network perimeter.
Cloud Central IP PBX — Total Management Without Local Infrastructure
For companies that prefer to delegate their entire communications infrastructure and benefit from immediate access to the latest features without investing in hardware, DataRoad implements and manages cloud IP PBX systems — with the platform hosted in datacentres with high availability and total redundancy.
The cloud model eliminates the need for a local server, reduces initial investment costs and ensures that the switchboard is always up to date and available — even in the event of a failure at the company's physical premises. It is the ideal choice for startups, fast-growing companies and organisations with multiple dispersed locations.
Hybrid Solution — The Best of Both Worlds
For companies with a head office and regional or remote branches, DataRoad implements hybrid architectures — a main local server at the headquarters, with cloud extensions for remote offices and teleworking staff. A single unified voice system, centrally managed, regardless of where each user is located.
This was the exact model that DataRoad implemented for the NewHotel Software — installation of two IP PBX systems, one on-premises and the other in the Microsoft Azure cloud, for the offices in Lisbon, Braga, Faro and Funchal. Four locations, a single voice system, centralised management and dramatically reduced telecommunication costs compared to the previous solution.
Features Included in the DataRoad IP PBX Switchboard
Automated Attendant (IVR) Automatic call-handling system with configurable voice menus — “Press 1 for Sales, Press 2 for Support, Press 3 for Administration” — with intelligent routing by time, department or availability. Out-of-hours, holiday and special period messages configured in advance.
Call Groups and Queues Automatic call distribution between group members — simultaneous, sequential or round-robin ring — with professional queues, custom hold music and estimated wait time. Never miss another customer call.
Extensions on Any Device Each employee can have their extension on their desk IP phone, on their computer via a softphone, on their mobile phone via a mobile app, or on all of them simultaneously. Whoever calls the extension does not know — nor do they need to know — whether the employee is in the office, at home, or in a meeting outside the company.
Transfers and Conferences Call transfer between extensions with or without prior consultation, call parking, multi-party telephone conferences with internal and external participants — all the features of a professional business PBX, included as standard.
Call Recording Automatic or manual call recording, with local or cloud storage and access via a web portal. Essential for companies with quality of service requirements, sales team training, legal protection in regulated sectors or compliance obligations.
Detailed Reports and Statistics Comprehensive call reports — duration, origin, destination, time, handling time, missed calls and answer rate — with real-time dashboards and export for analysis. Data that allows you to optimise the management of customer service teams and identify peak demand.
Virtual Fax Reception and sending of faxes via email — no physical fax machine, no dedicated line, with a digital archive of all received and sent documents. Faxes arrive as PDFs in the recipient's email and are sent from the computer.
Integration with Microsoft Teams and Softphones Integration of the IP PBX system with Microsoft Teams — employees make and receive external calls directly within Teams, with all the features of the phone system available in the interface they already use daily. Support for softphones for Windows, macOS, iOS, and Android.
GSM Gateway for Mobile Phone Calls For companies with a high volume of calls to mobile networks, DataRoad implements GSM gateways — devices that integrate SIM cards into the IP PBX phone system and automatically route mobile calls through those cards, at the cost of the mobile operator's plan instead of VoIP-to-mobile rates. Significant savings for companies with field sales teams.
IP Phones and Compatible Equipment
DataRoad supplies and configures a full range of IP telephony equipment, fully integrated with the installed switchboard:
Executive IP Phones Professional IP phones from Yealink, Grandstream and Cisco brands — featuring colour screens, HD audio quality, programmable function keys and support for multiple simultaneous lines. Available in entry-level, mid-range and premium ranges, suitable for every user profile — receptionist, sales representative, executive or meeting room.
Wireless IP Phones (DECT) For environments where mobility within the premises is essential — warehouses, clinics, hotels, restaurants — DataRoad installs IP DECT telephony systems with full on-site coverage and wireless handsets that behave as full extensions of the switchboard.
Softphones for Computer and Mobile Applications for Windows, macOS, iOS and Android that turn any computer or mobile phone into a complete extension of the IP PBX phone system — with all features available, including transfers, conferences and presence. Ideal for remote workers and field sales teams.
Professional Headsets Headsets certified for use with softphones and IP phones — from the Jabra, Plantronics and EPOS brands — for customer service teams, contact centres and intensive telephony users.
Cost Reduction — How Much You Can Save with an IP PBX System

The cost that rarely appears in the budget
Comparing telephone systems by equipment price almost always leads to the wrong decision. What determines the three- and five-year cost are the extension licences, the terminals and — above all — the network that has to support them.
A non-PoE switch or cabling that doesn't reach the workstations turns a simple project into a half-finished building site.
The adoption of an IP PBX system has a direct and measurable impact on any company's telecommunications bill. Figures vary according to the usage profile, but typical results are:
Internal calls between extensions: zero cost. Calls between offices of the same company, between remote workers and to mobile extensions — all free of charge, regardless of distance. A company with offices in Lisbon and Porto that currently pays for calls between the two headquarters completely eliminates this cost.
International calls: reduced from 60% to 80%. VoIP rates for international destinations are significantly lower than those of traditional Portuguese operators — especially for destinations outside Europe where companies with international operations incur high costs.
Scalability without hardware costs. Adding a new extension to an IP PBX system is a software configuration — it does not involve purchasing additional hardware, installing new lines or costly technical intervention. A company that grows from 20 to 50 employees does not have to replace the switchboard.
Cancellation of maintenance contracts for old central systems. Many companies pay annual maintenance contracts to manufacturers of analogue or ISDN switchboards that no longer have active support. Migrating to an IP PBX eliminates these contracts and replaces them with a modern solution with included support.
Real IP PBX Central Projects — DataRoad
NewHotel Software — Lisbon, Braga, Faro and Funchal
DataRoad was chosen by NewHotel Software — a hotel management software company with offices in four Portuguese cities — for the installation and configuration of two IP PBX systems: an on-premises telephone system and a cloud-based one in Microsoft Azure. The project included the porting of all existing numbers, configuration of extensions across all locations, integration between the two systems and team training. The result was a single company-wide voice system, with free internal calls between Lisbon, Braga, Faro and Funchal, and a significant reduction in monthly telecommunications costs.
Company with Offices in Lisbon and Porto — Unified Headquarters
A professional services firm with teams in Lisbon and Porto that was operating with two completely separate telephone systems — with no call transfer between offices, no shared extensions and duplicate telecoms costs. DataRoad implemented a unified IP PBX system with extensions at both locations, a central automated call handling system with routing by department, call recording for compliance purposes, and a GSM gateway for calls to mobile phones. Savings of 45% on the monthly telecommunications bill in the first year.
Hotel Group — Multi-Property Voice System
Installation of an IP PBX telephony system in a multi-unit hotel network, integrated with the property management system (PMS) — featuring automatic guest identification on calls, room-by-room call billing, automatic wake-up calls and an internal messaging system. A solution that replaced obsolete analogue exchanges in each hotel with a modern system, centrally managed by DataRoad.
Installation, Configuration and Support — What DataRoad Guarantees
Custom Analysis and Design
Before any installation, DataRoad carries out a detailed analysis of the company's communication needs — number of users, usage profile, call volume by destination, necessary integrations with existing software and the specific requirements of each department. The project is presented to the client with all technical and functional specifications before implementation begins.
Porting of Existing Numbers
Migrating to VoIP does not mean changing your company's phone numbers. DataRoad handles the entire porting process — transferring existing numbers to the new VoIP operator, with no service interruption during the transition and total transparency for clients and partners.
Complete Installation and Configuration
Installation of the IP PBX server — on-premise or cloud — configuration of all extensions, call groups, auto-attendant, recording and integrations. Configuration and provisioning of all IP phones and softphones. Complete testing of all features prior to going live.
Team Building
Practical training for end users — how to use the IP phone, how to transfer calls, how to access voicemail, how to use the softphone on a mobile phone — and in-depth training for the internal administrator responsible for system management.
Ongoing Support and Maintenance
DataRoad does not disappear after installation. With the IT Unlimited support contract, the IP PBX central is included in the total management of the IT infrastructure — with 24/7 monitoring, security updates, addition of extensions, configuration changes and user support at no additional cost.
Why Choose DataRoad for Your Company's Telephone System
Proven experience across multiple sectors. DataRoad has installed and maintains IP PBX systems in tech companies, professional services offices, hotel groups, medical clinics and multinationals with a presence in Portugal — each with specific requirements that DataRoad understands and knows how to resolve.
Operator-independent solution. DataRoad is not tied to any telecommunications operator — we choose the VoIP provider that offers the best conditions for each client's usage profile, and we can migrate operator without replacing the PBX.
Full integration with the existing IT infrastructure. The central IP PBX is not an isolated system — it is integrated with the IT network, the firewall, Microsoft 365, the CRM and all the systems that the company already uses. DataRoad ensures this integration because it manages the client's entire IT infrastructure.
No tie-in contracts. The IP PBX switchboard support and management service can be cancelled at any time. We stay because we deserve to stay — not because there is a contract forcing you to stay.
A single point of contact for everything. Computer network, security, servers, workstations and telephone system — all managed by DataRoad. When there is a problem involving the intersection between the network and telephony — which happens frequently — there is no finger-pointing between different suppliers. There is one team that resolves it.

Frequently Asked Questions
Are PBX and PABX the same thing?
They are. PABX adds “automatic”, as opposed to the old switchboards with an operator. Since manual switchboards no longer exist, anyone charging more for a PABX than for a PBX is simply selling you an extra letter.
Do we lose our numbers if we change?
No. The numbers are portable and are kept. The process is handled by us and the transition is made with no downtime.
On-premise or cloud-based exchange?
Cloud makes sense for distributed, growing teams or those without a server room. An on-premise PBX continues to be worthwhile with many extensions, specific integration requirements or where the internet connection is unreliable.
What do you need to have on the network?
Wiring that reaches each workstation, a PoE-powered switch with sufficient capacity, and a stable, high-quality internet connection. This is the part that most quotes overlook and the one that causes the most problems.
