Office Relocation

Moving premises? IT is usually left until last and is what delays opening the most. We handle office relocations from start to finish, with a set date and no improvisation.

Before: survey of the new premises, network and socket layout, liaising with the internet provider regarding the internet connection and with the landlord regarding cable routing. During: structured cabling, rack installation, Wi-Fi, firewall, telephones, servers and workstations.

On the day of the move we oversee the operation so that the team enters the new space and finds everything working — network, printers, telephones and access.

Our value is measured by the projects we have delivered: dozens of offices set up and migrated in Portugal, with qualified and certified technicians specialising in the leading technologies. When you choose DataRoad, you aren’t just taking someone at their word — you’re choosing proven experience, with references you can check.

Moving office doesn't have to mean days of downtime. DataRoad plans and executes the complete IT transition of your premises — network, servers, workstations and communications — in a phased manner and working alongside you, so that your team leaves one office on a Friday and works in the new one on Monday morning. No improvised solutions: every step is planned, tested and confirmed.

The Office Relocation That Companies Fear Most Is Not the Logistics — It’s the IT

Stacked boxes, dismantled furniture, co-ordinating removal firms — the logistical side of an office move is visible, plannable and manageable. The IT side of things is different. It’s invisible until the moment it fails — and when it does fail, it fails at the worst possible time: on the first day of work at the new premises, with the whole team waiting to switch on their computers.

Servers that won’t boot up at the new premises. A network that isn’t working because the cabling hasn’t been finalised. IP phones that haven’t been configured. A VPN that won’t connect. Email that won’t synchronise. Printers that nobody knows how to connect to the new network. A whole day — or more — of business at a standstill, with real costs and customers left without a response.

DataRoad eliminates this risk. We take full responsibility for the IT aspect of your company’s office move — from planning right through to the final set-up — so that on the first day at the new premises, your team can simply switch on their computers and get to work. It’s that simple.

An Office Move is an Opportunity. Don't Waste It.

Sequence of steps involved in setting up an office: floor plan and network points, cabling, connections and equipment, workstations and commissioning
The sequence of decisions in an office fit-out. Changing the order always costs money.

Most companies view an office move merely as a disruption to be minimised. The smartest companies view it as a unique opportunity — to modernise IT infrastructure, fix the problems that have accumulated over the years, and build a solid technological foundation for the next 5 to 10 years.

Moving offices is the ideal time to:

Replace old, uncertified cabling with Cat6A infrastructure featuring certified network points — which will support the speeds and systems of the coming years without the need for further work.

Migrate old physical servers to a virtualised infrastructure or the cloud — eliminating ageing hardware and the associated risks of failure.

Implement a quality corporate wireless network — complete with a site survey, professional access points and centralised management — rather than repeating the mistake of installing a domestic router in a cupboard.

Review and modernise the telephone system — migrate to VoIP and an IP-PBX system, thereby eliminating expensive fixed-line telephone contracts.

Reorganise network security — implement a suitable firewall, a VPN for remote working, and network segmentation between departments.

DataRoad helps your company make this transition in a smart way — not just by carrying old problems over into a new environment.

What DataRoad Does to Help with Your Company’s Office Relocation

Pre-Change IT Audit

First and foremost, DataRoad carries out a comprehensive audit of the existing IT infrastructure — taking stock of all equipment, mapping critical systems, identifying dependencies and assessing the condition of each component. The aim is to establish exactly what is in place, what needs to be migrated, what needs to be replaced and what can be reused.

This audit forms the basis of the migration plan — and is the reason why the changes coordinated by DataRoad come with no surprises.

Network Design for the New Premises

Based on the floor plan of the new premises and the company’s requirements, DataRoad develops the complete network design — including the location of all data and voice network points, cabling routes, rack positioning, wireless network architecture with a site survey, and the sizing of the switching and active systems.

The project is handed over to the client before work begins — complete with plans, a list of materials and an installation schedule.

Certified Structured Cabling Installation

Installation of Cat6A structured cabling in the new premises, with each network point certified using Fluke Networks equipment and a full certification report provided. Assembly and organisation of racks, patch panels and cabling — with a professional finish and documentation ensuring that any technician in the future can immediately understand the network architecture.

Corporate Wireless Network Installation

Design and installation of a professional wireless network with preliminary site survey — Ubiquiti UniFi, Cisco or Fortinet access points positioned based on measured coverage, not cable routing convenience. SSID configuration by user profile, VLAN separation between staff, visitors and IoT devices, and centralised management with real-time monitoring.

Migration of Servers and Critical Systems

Server migration is the most critical part of any office relocation — and the one that most frequently goes wrong when not managed by experts. DataRoad plans the migration in detail: an out-of-hours maintenance window, a full backup before any intervention, a phased migration to minimise downtime, and validation of all systems before work resumes.

We migrated physical servers, virtualised servers in VMware and Hyper-V, storage NAS, file servers and application servers — with complete reconfiguration for the new premises and validation of all dependencies.

Network, Firewall and VPN Configuration

Installation and configuration of a Fortinet or Sophos firewall, with security rules tailored to the company's risk profile, VPN for remote staff and inter-office access, and network segmentation by VLAN between departments. The new network starts secure — security is not “added later”.

Migration of the Telephone Exchange

Migration of the telephone system to VoIP with an IP-PBX switchboard — Asterisk, 3CX or another platform — with porting of existing numbers, configuration of extensions and call groups, and integration with the CRM system if applicable. Elimination of expensive landline telephony contracts and transition to a modern, flexible and scalable system.

Relocation and Setup of Workstations

Dismantling, transport and reassembly of all workstations — with complete reconfiguration of each computer for the new premises: network connection, printers, file shares, VPN and enterprise software. Every employee arrives at the new premises to find their workstation exactly as they left it — but better.

Integration with Microsoft 365 and Cloud

Companies using Microsoft 365, Azure, Google Workspace or other cloud platforms especially benefit from an office move — it is the ideal time to review licences, optimise configurations and ensure that the new infrastructure is fully integrated with cloud services. DataRoad configures the integration between the local network and cloud services, ensuring single sign-on, identity synchronisation and secure access to all resources.

Testing and Validation Before the Physical Move

Whenever possible, DataRoad validates all IT infrastructure in the new premises before the physical relocation of employees — internet connection, internal network, servers, printers, telephones and access to all critical systems. The goal is for the first day of work in the new premises to be exactly like any other day — no surprises, no waiting, no frustration.

Office Move Without Loss of Productivity — How We Ensure It

Lost productivity during a poorly managed office move does not appear on any invoice — but it is there. Let's calculate: a company with 30 employees that loses a full working day due to IT issues during the move is wasting the equivalent of a person's month of work. If the problems drag on for two or three days — which often happens without a dedicated IT partner — the real cost of the move is much higher than the renovation budget.

DataRoad plans IT relocation with zero downtime:

We worked in the new premises before the physical move — the network infrastructure and critical systems are operational before the first employee arrives.

We carry out server migrations outside of working hours — usually on the weekend prior to the switch, so that everything is ready by Monday.

We keep a technical team on-site on the first day — to immediately resolve any issues that arise and ensure no employee spends the day unable to work.

We take a full backup of all data before moving any system — because accidents happen, and data recovery is much more expensive than prevention.

Examples of IT Change and Implementation Projects

An open-plan office with rows of desks, ergonomic chairs and several computer monitors, looking out over the city skyline through large windows.

Scale for the following change

The most expensive mistake in an office set-up is sizing it for the current team only. Six months later, ten more people join, the room next door is taken, and you discover there are no sockets, no free ports on the switch, and no coverage in the new area.

Leaving capacity in network points and equipment capacity costs little during the initial fit-out and avoids a second one — which is always more complicated, because the office is now up and running.

NewHotel Software — Offices in Lisbon, Braga, Faro and Funchal

DataRoad was chosen by NewHotel Software for the installation and configuration of two IP-PBX telephone exchange systems — one on-premise and the other in the Microsoft Azure cloud — for its offices in Lisbon, Braga, Faro and Funchal. A project that required coordination across four locations, number portability, integration with the Azure platform and VoIP configuration across all headquarters. DataRoad ensured that the transition was seamless for users in all locations.

ReStream — Total Office Renovation in Cascais

DataRoad was responsible for the complete renewal of ReStream's IT infrastructure in Cascais — installation of new structured cabling, new-generation switches, multiple Wi-Fi 6 access points and implementation of a firewall solution for perimeter protection. A complete renewal project that transformed an obsolete infrastructure into a modern, managed and monitored network.

Mitrelli Group — Multi-Site Implementation

Complete installation and overhaul of the IT network for the Mitrelli Group across various locations, featuring structured cabling, core switches and Wi-Fi 6 access points in multiple facilities. DataRoad coordinated the project across the different headquarters, ensuring a coherent network architecture and centralised management of the entire infrastructure.

Varandas de Lisboa — New-Build IT Implementation

Complete IT infrastructure implementation for the 22 Varandas de Lisboa tourist apartments from scratch — structured cabling, wireless network with per-apartment segregation, internet access redundancy, and centralised management. A greenfield implementation project that transformed a refurbished building into a technologically complete facility, ready to welcome guests from day one.

Forward College — Campus IT Implementation

Implementation of the computer network and wireless infrastructure for Forward College — Lisbon University of London — at its premises in Lisbon. A demanding academic environment, with high user-density requirements, integration with the university's authentication systems, and the capacity to support hundreds of simultaneous devices.

Frequently Asked Questions

How far in advance should we call you?

Ideally when the floor plan is still being drawn. The moment we are most useful is before construction starts; once the walls are closed up, every missing point costs several times more.

How long does the technical part take?

Between three and six weeks in parallel with the construction work, for a typical office. The critical path is rarely the cabling — it's the internet connection.

Do you also deal with phones and computers?

Yes. Cabling, rack, wireless, firewall, telephone system, printing and workstations are coordinated by the same team, so there are no suppliers pointing fingers at each other.

And the change to what already exists?

We handle the inventory, dismantling, transport and reinstallation of usable equipment, with a plan to ensure the server and connections are up and running before people arrive.
