IT for Hotels: Wi-Fi, PMS and Networks That Mustn’t Fail

In an office, IT is a means. In a hotel, part of it is a product: the guest pays for it, uses it from the first minute and reviews it publicly. It is the only technical infrastructure in a hotel that receives a rating on a booking platform.

Wi-Fi is a product, not infrastructure

The quality of the WiFi appears in reviews with a frequency that surprises anyone who has never noticed. And what generates complaints is rarely the contracted speed — it is the experience:

  • Patchy coverage. Excellent signal at reception and weak in the back bedroom on the third floor is the classic pattern. A hotel's walls were made to block sound, and they block signal with equal effectiveness.
  • Complicated authentication. Websites that force you to fill in forms, that expire in the middle of the night or that only allow one device per room cause more frustration than slowness.
  • Capacity in communal areas. A group of fifty people in a meeting room is a density problem, not a coverage one.
  • Roaming. A guest on a video call walking down the corridor should not lose connection.

Coverage per room, not per floor. The temptation to put one access point per corridor and assume it reaches the rooms is the origin of most Wi-Fi complaints in the hotel industry. Only a coverage study nothing on the site reveals what the plant hides.

In a hotel, the network serves guests and operations at the same time. Separating them is the first step.

Separate guests from management

It is the most important rule in this article and the most frequently ignored, especially in small units.

The network serving the guests and the network serving hotel operations — PMS, payment terminals, electronic door locks, reservation management — must be completely separated. It is not a question of performance; it is about security.

A guest is, by definition, an unknown user with network access. If that network reaches the management systems, anyone setting up for a night is one step away from everyone else's data.

Isolation between guests is equally important: whoever is in room 210 must not see the laptop of whoever is in 212.

PMS and operations

The hotel management system is the heart of the operation, and a failure in it is immediately visible to the customer — a guest waiting at reception realises that something is not right.

Three practical consequences. The PMS needs to network priority given the guest traffic: the hundred-room entertainment video cannot compromise the check-in. It needs internet connection redundancy, because most modern PMS and booking channels are online services. And you need electrical continuity — reception must be able to operate during a power failure.

And then there are the integrations: booking channels, door locks, payment terminals, restaurant systems. Each integration is a point of failure, and it is worth knowing in advance what happens to each one when the connection drops.

Carry out works while the hotel is open

Unlike an office, a hotel doesn't close at the weekend to overhaul its network. This changes the way you work.

The interventions are carried out in phases, typically floor by floor or wing by wing, coordinated with the occupancy and management. Noisy work is concentrated at times that do not affect guests. And it is necessary to have the capacity to step back at any moment: a change that goes wrong at eleven at night must be able to be reversed before the morning check-in.

That is why coordination with the operations management is worth just as much as technical competence. A good intervention plan in the hotel industry is above all a good schedule plan.

Hotel directions checklist

  • Is the guest network effectively isolated from the management network? Confirm, do not assume.
  • Is there tested coverage in all rooms, or just in the corridors?
  • Is there a secondary internet connection from a different provider with tested automatic failover?
  • Does the PMS have traffic prioritization configured?
  • Does reception remain open during a power cut?
  • As backups Have PMS ever actually been restored, seriously?
  • Who replies at three in the morning, and in how long?

If any of these answers are “I don't know”, it is worth carrying out an assessment before a guest discovers it.
